Key Responsibilities:
- Provide comprehensive administrative support to executives, including calendar management, meeting coordination, and travel arrangements
- Serve as a liaison between executives, internal teams, investors, and external partners
- Prepare and edit correspondence, presentations, reports, and board materials
- Assist with project coordination and follow-ups across cross-functional teams (e.g., regulatory, clinical, R&D)
- Manage confidential information with discretion and professionalism
- Support planning and execution of company events, board meetings, and investor communications
- Track key initiatives and ensure deadlines and deliverables are met
- Help streamline internal processes and improve operational workflows
- Handle expense reporting, invoice processing, and vendor coordination
Qualifications:
- 2–5+ years of experience as an Executive Assistant or similar role, ideally within a medical device, biotech, or healthcare startup
- Strong understanding of startup environments and ability to adapt to shifting priorities
- Experience supporting C-level executives or senior leadership
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication abilities
- High level of discretion and professionalism
- Proficiency in tools such as Google Workspace, Microsoft Office, and project management platforms (e.g., Asana, Notion, or similar)
- Familiarity with regulated environments (FDA, ISO, clinical processes) is a plus
Preferred Qualifications:
- Experience supporting fundraising efforts or board-level communications
- Exposure to medical device development lifecycle or regulatory processes
- Bachelor’s degree or equivalent experience
